Clear Call privacy
Last updated 19 October 2026
Clear Call is the internal phone system of Clear Recruitment, built and run for them by Limivex (Limivex Sales and Marketing Consultants). It covers the web app at call.clear-er.com, the Clear Call mobile app for Android and iPhone, and the Chrome extension. It is only for Clear Recruitment staff who have been invited by an administrator: nobody else can sign in, and there is no public sign-up.
Clear Recruitment decides why and how the information below is used (it is the data controller). Limivex runs the system on its behalf (data processor).
What Clear Call stores
- Your account: name, work email, photo (if your Microsoft account has one), extension, role and status.
- Call history: who called whom, the numbers, when, for how long and the outcome. Every call is recorded, and each recording is transcribed into text. Staff tell people at the start of a call that it is recorded.
- Voicemails, with their recordings and transcripts.
- Text messages (SMS) sent and received through Clear Recruitment's numbers.
- The company phonebook: names, companies and numbers of contacts that staff save.
- WhatsApp messages and calls, for staff whose own WhatsApp number has been linked by an administrator.
- An activity log of administrative changes, for security.
Each call, text and WhatsApp message may also be noted against the matching candidate or contact in Clear Recruitment's recruitment system (Vincere), and call counts are shown on Clear Recruitment's internal dashboard (ClearOS).
The mobile app
The app asks for these permissions on your phone, and uses them only for the purposes given:
- Microphone: to carry your voice on phone and WhatsApp calls you make or answer. The microphone is only used during a call, including while a call carries on with the screen off or the app in the background.
- Notifications and full-screen incoming calls: so the phone rings and shows who is calling when someone rings your Clear Call number or extension, even when the app is closed or the phone is locked.
- Nearby devices (Bluetooth): to play calls through a Bluetooth headset or car kit when you choose one.
- Phone dialler: emergency numbers (999, 112, 911) are handed to your phone's own dialler and the mobile network. Clear Call never places emergency calls itself.
The app does not use your camera, your location or the contacts stored on your phone, and it shows no advertising. On the phone it keeps only your sign-in session (in the phone's secure storage) and a few settings. Call history, texts, recordings and WhatsApp messages stay on Clear Call's servers and are shown in the app while you use it. Signing out removes your session from the phone.
The Chrome extension
The extension shows a call button next to phone numbers on Vincere pages (and, only if you switch it on, other websites). When you press it, the number is passed to your open Clear Call tab, which places the call. With Vincere open, it also writes your calls, texts and WhatsApp messages to the matching candidate or contact in Vincere, using your own Vincere session. It keeps your settings in your browser and does not read or send anything else from the pages you visit.
Who processes the information
- Limivex's own server (rented from Hetzner Online, in Helsinki, Finland, in the EU): the database, sign-in and all stored information, with encrypted backups kept in a Google Workspace shared drive.
- Vercel (servers in Stockholm, Sweden): runs the web app and the connections the mobile app and the extension use.
- Twilio: carries phone calls and text messages, and holds call recordings until they are deleted.
- OpenAI: turns call and voicemail recordings into text transcripts.
- Green API: connects linked WhatsApp numbers for messages and WhatsApp calls.
- Google Firebase Cloud Messaging (Android) and Apple Push Notification service (iPhone): wake the app for incoming calls.
- Microsoft: sign-in with your work Microsoft 365 account. Resend: sends sign-in codes and voicemail and missed call emails.
Some of these providers may handle information outside the UK and EU (for example in the United States). Where they do, it is covered by their data processing terms and the UK and EU safeguards for international transfers. Nothing is sold or shared for marketing.
How long it is kept
- Call recordings and their transcripts are deleted automatically after the retention period Clear Recruitment sets (365 days unless it chooses otherwise).
- Call history, voicemails, texts and the phonebook are kept while Clear Recruitment uses Clear Call, unless an administrator deletes them sooner.
- When someone leaves, an administrator switches off or removes their account; a removed account's profile is deleted.
- Encrypted backups roll off on a fixed schedule, so deleted information leaves them in time too.
Access and security
Information is only shown to people at Clear Recruitment who need it: you see your own calls, voicemails and texts; managers and administrators see more. Every connection is encrypted, and each organisation using Clear Call can only ever see its own information.
Deleting your Clear Call account or data
- Email daniel@limivex.com from your work email address, with the subject "Delete my Clear Call data".
- Say whether you want your whole account deleted, or only some data (for example call recordings).
- We confirm the request with Clear Recruitment and reply within 30 days.
Deleting an account removes your profile, sign-in, settings and voicemail greeting, and the recordings, transcripts, voicemails and texts linked only to you. Call history that Clear Recruitment must keep for its records stays with your name removed. Copies in encrypted backups are gone within 30 days.
Your rights and deletion requests
You can ask to see, correct or delete information about you, or object to how it is used. If you called or texted Clear Recruitment, or work there, contact Clear Recruitment, or email Limivex at daniel@limivex.com and we will pass your request on and help them deal with it. To delete a Clear Call account and its information, email the same address from the account's work email. You can also complain to the Information Commissioner's Office (ico.org.uk).
